What alerts/notifications are available in SaaSLicense?

SaaSLicense offers flexible notification configurations which enables Admins and users to determine when they are notified and for which key data points.

Real time alerts are shown when Users have logged into the SaaSLicense portal. Alerts are found under the Alert bell as well within the Application's details Alerts Tab. The alert tab only appears if/when the alert is happening.

Notifications are configurable by Users and are communicated via Email. Notification settings are found under Company Settings in the General Settings Tab.open company settings

⚠️Only Users assigned to a role with permission to 'Maintain Company Information' will have access to configure global Notifications.

There are 2 components of SaaSLicense Notifications.

1. Notifications for Company Settings aka Global Notification: Telling the system which notification to send, to whom and how often, and

2. Application notifications (found in the Configuration Tab): A ☑️ includes the application within the Global Notification.

For example if you do NOT include an application into summary notification, the Global notification for 'Summary' will report the Summary data for all applications having a ☑️, excluding DocuSign as seen below. 

Parameters define the rules/criteria when the notification is to be generated for the specific application. For example your inactive User threshold (send notification when there are X inactive users) for Concur may be very different than the setting for Salesforce.com

In order for a Global Notification to be generated and sent to a group, it must be checked Yes as seen above.  When configuring Global Notifications (the type of alert, recipient(s) and frequency), the system first evaluates the parameters configured for each application before sending the notification. 

⚠️Despite having inclusive settings within an application's Notification configuration, if the Global Notification is un-checked, then a notification will NOT be generated.

Notifications: Applications

Notification Name

Configuration for this alert is set:

(1) Inactive Users

Fire an alert for this Application when there are more than ‘X’ inactive users

(2) Contract Expired 

Fire an alert for this Application’s expired contract. The Contract Expiration Date is entered within the individual Application’s Contract Tab.

(3) Weekly Status Report

Weekly Status emails can be sent to the designated recipients (from Company Settings). To include a specific Application into the status report, an end user must first turn on the configuration within the individual Application’s Configuration Tab.

(4) Contract Approaching Expiration

Fire an alert when the contract is X number of days nearing expiration.

(5) License Capacity

Fire an alert when the license usage is at X% capacity

(6) Contract Out Clause 

If a contract has an out clause, SaaSLicense by default, sets the out clause to 90 days from the contract’s end date. If desired, the number of days prior to contract end date (for notification) as well as the default 90 day out clause are configurable from within the individual Application’s Configuration Tab.

 (7) Internal Contract Owner notified contract expired

Fire an alert to the assigned Contract Owner when contract expires. The Contract Owner is defined within the individual Application’s Contract details tab, Internal Contact Email.

If no recipient is added when a notification is configured, SaaSLicense will default to your Main Contact Email (Company Settings Page)
